The Student Services Manager position is primarily responsible for looking after the student services provided by the Higher Education provision across all campus’ including London, Birmingham and Nottingham, involving admissions, attendance, safeguarding and welfare, engagement and retention functions.

The position is responsible for day-to-day financial operations linked to these services and to the organisation in general.

The Student Services Manager ensures the smooth processing of all these student services as well as the organisations finances and reports into the Operations Manager. To enable this the Student Services Manager will manage a team of Student and Academic Support Officers across all locations.

The role holder will ensure the Higher Education Establishment’s Management receives correct and informative reports and analysis informed by their monitoring of the levels and standards of Student Services provided in liaison with the Operations Manager, Academic Director, Academic Managers and Managing Director, agents and sponsors and all internal and external stakeholders, ensuring effective communications and high levels of customer satisfaction.

The role holder will undergo any training or development relevant to the role as required and participate in meetings as required. They will develop strategies, policy, and procedures to define and enhance the student experience, especially focusing on engagement and retention.

Responsibilities:

Engagement+ Retention

  • Line manages the Academic Student Support Officers, providing all training and supervision to achieve the engagement and retention matrices.
  • Support the engagement and retention strategy to support student population and the student experience.
  • Have a strong understanding of the student lifecycle, resolving issues in an accurate and timely manner, offering options for students that are carefully explained, in order to support a strong student experience.
  • Ensuring that students from all demographics and academic backgrounds are adequately represented in student initiatives offered by the College and/or Students' Council at key 'transitions’ in the student journey.
  • Be familiar with the college IT systems and VLE that support this role, in particular Canvas and SIS.
  • Proactively contribute to create a second to none experience for the arrival and
  • induction of new students.
  • Organise events such as Induction and Graduation.
  • Support the Academic teams with the integration of students into campus life.
  • Develop and create an effective engagement strategy to connect with the student population through social events and other activities to enhance the student experience.
  • Provide high quality client service - front counter information and advice, system support and direction, and referral in a professional and accurate manner.
  • Provide reporting and statistics on engagement and retention using the agreed software during the student lifecycle to assist with planning.
  • Work closely with the social media Team and support them in sourcing students to showcase their work online.
  • Develop the Student Voice through the student Forum etc.
  • Sit on the Attendance and Retention Board
  • Financial Operations

  • Develop working relationships with various suppliers.
  • Receive invoices, liaise with accounts, and manage workflow through Agresso.
  • Liaise with Accounts Team to process payment to suppliers.
  • Manage the effective day to day provision of services according to contractual agreements, referring any issues to the Operations Manager.
  • Ensure the effective provision of services from third party suppliers and relationship with supplier's accounts teams.
  • Manage the procurement of all academic resources and equipment based on requests from the Academic team.
  • Work with the Finance and Accounts team to process incoming invoices and manage payment processes.
  • Liaise with finance department, business developers and recruiters to ensure full payment of fees before start of course and invoicing/ chasing of outstanding academic fees for English courses.
  • Track all sales income, reporting to the Operations Manager.
  • Ensure accurate reporting on finance matters related to budget allocations.
  • Accommodation & Admissions

  • Liaise with SMS Team with regards to student database when necessary
  • Report to management on information related to student numbers and related finances.
  • Track and process sponsored student documentation and process workflow with sponsors.
  • Develop and implement new administrative systems, processes, policies, and procedures.
  • Responsibility of relevant budgets and subsequent reporting to Operations Manager and the Managing Director
  • Oversight of Centres accommodation provision and services.
  • Oversight of any complaints or issues relating to accommodation
  • Person Specification:

  • A degree in a relevant field such as Business, operations management or equivalent experience – Essential
  • Experience within an administrative based role
  • Knowledge of software packages
