Role

Overview:

As the Office Coordinator, you will provide efficient office administration support to the UK team, ensuring smooth operations and visitor management. This is a full-time permanent role based in our London office.



Responsibilities :



  • Take ownership of office space administration and maintenance, ensuring a conducive working environment.

  • Coordinate office equipment needs, including stationery and mobile device allocation.

  • Assist with travel arrangements, including flights, accommodation, and airport transfers.

  • Support senior members of staff with diary coordination, meeting invitations, and minute-taking.

  • Negotiate supplier agreements and establish preferred supplier agreements for office needs.

  • Manage incoming enquiries, emails, and requests, providing exceptional customer service.

  • Collaborate with administrative teams across offices to ensure seamless workflow processes.

  • Support finance activities, including processing expenses and invoices.

  • Assist in organising both internal and external events.

  • Coordinate visitor management, including arrangements for internal and external visitors.



  • Requirements :



  • Solid general administration skills with proficiency in Microsoft Office suite (Word, PowerPoint, Excel, Teams, Outlook).

  • Ability to take initiative, work flexibly, and manage multiple tasks.

  • Strong attention to detail and excellent time management skills.

  • Exceptional written and verbal communication skills, with a positive "can do" attitude.

  • Demonstrated commitment to organisational values and high ethical standards.



  • Desirable :



  • Previous experience in a similar role.

  • Knowledge of healthcare or medical research environment.
