The Opportunity

As our Office Assistant you will help contribute to Featurespace’s continued success and positive culture by providing a professional, warm welcome to the office, as well as ensuring it is a comfortable, safe and enjoyable workplace for all. This role features a wide range of duties, so will require an organised and proactive individual, who is confident to take ownership, use their initiative and work autonomously to complete varied tasks around the Cambridge office.

You will have frequent interaction with both internal and external visitors, and therefore you will be an approachable and enthusiastic person, with a positive attitude, who is always happy to help. Due to the nature of this position, we require someone to be able to attend the Cambridge office 5 days a week .

Day to Day

Reception Management:

  • Manage the guest checking in process
  • Ensure reception is clean, tidy and guest ready
  • Be on hand to assist team members and visitors with general queries
  • Support with monitoring CCTV and reporting anything of concern to the Facilities Manager
  • Regularly check the Voicemail messages on the main phone line and pass relevant messages onto team members
  • Hospitality /Kitchen Maintenance:

  • Book & set up Thursday hot lunches and Thursday social drinks for the office
  • Ensure the kitchen is fully stocked, including assisting with putting away the shopping on a daily basis
  • Maintaining a clean and safe environment
  • Support with refreshments/ merchandise for customers or team lunch meetings as required
  • Support with company socials (UK Summer social and Festive social)
  • Shipping & Post:

  • Assist in arranging local/international collections/deliveries with couriers
  • New starters & leavers:

  • Assist with sending new starters their equipment, Featurespace merch and anything else they require
  • Co-ordinate equipment collection with all Featurespace leavers
  • Meeting rooms:

  • Daily morning checks of the meeting rooms to ensure that the space is tidy and equipped with appropriate resources and all IT equipment is working correctly if not, to be reported to IT
  • Checking the meeting room system (Joan) to ensure it continues to work seamlessly
  • Ensure meeting room space is tidy and equipped with appropriate resources and all IT equipment is working correctly throughout the day
  • Working with the Business Support Team which is a connected team across the global offices to maximise efficiency:

  • To contribute to regular meetings
  • Identify new goals and actions
  • To provide holiday and sickness cover for B.S Team as and when required
  • About you

    Must haves:

  • Excellent Customer Service skills
  • A proactive approach to completing tasks
  • The ability to take a measured approach to problem solving
  • Experience using IT systems, in particular Microsoft Office
  • Great to haves:

  • Experience of working on reception within an office environment
  • Qualification in Office Administration
  • First Aid and/or Fire Marshall Training
