Summary: Indegene is looking for a UK based Office Administrator with experience to partner with a key client to coordinate, plan and manage client leaders’ meetings and provide administrative support.

The key requirements include meeting support, communications management and administrative support for stakeholder activities.

Responsibilities:

  • Communication management including scheduling of all meetings with a documented agenda, minutes of the meetings and liasioning and follow-up with stakeholders
  • Active tracking of actions/decisions from meetings and follow-up for completion with responsible stakeholders
  • Collaborate with all stakeholders and support with administrative activities of travel desk, booking tickets and expenses submission
  • Assist with administrative tasks
  • Support onboarding formalities of new team members ensure timely completion of key tasks including credentials creation, access support, laptop provision and shipment of assets.
  • Create the agenda, document and follow-up on important actions and decisions from the meetings
  • Track the progress of projects on a routine basis and ensure all the project-related activities are completed on time and share regular updates with relevant stakeholders.
  • Follow-up on invoices from vendors on a timely basis and accurately, resolve any queries or clarifications that the vendor team has on revenues/financials, etc
  • Participate in trainings (as relevant) and learn through hands-on experience on the job about project communication, planning and scheduling.
  • Ad hoc duties as required and directed by your line manager

Qualifications:

  • Relevant Business qualification
  • Experience working in Executive administration in a global company
  • Fully conversant with MS Office (Word, PowerPoint, Excel), and communication devices
  • Excellent interpersonal and communication skills
  • Proactive, independent, reliable, and demonstrating sound judgment and discretion in order to deal with confidential information
  • Fluent in English and comfortable in communicating with top management and external partners and stakeholders
  • Adaptability to unexpected situations, problem solver.
