    The Legacy Income Department is the largest source of income for The Donkey Sanctuary, responsible for approximately two-thirds of the charity’s annual revenue, and we now have an excellent opportunity for a self-motivated and flexible individual with strong administrative skills and an excellent attention to process to join our busy team. A proven team player, and able to demonstrate tact and diplomacy in dealing with sensitive and confidential matters, you will provide administrative support and be key to the effective operation of the department.

    About you:

  • Previous experience of working within a busy administrative role.
  • Excellent communication skills.
  • A professional telephone manner.
  • Good organisational and multi-tasking skills and the ability to prioritise workload.
  • Able to maintain a high level of accuracy and attention to detail whilst working with a number of conflicting demands and deadlines.
  • Competent IT skills (proficient in Word, Excel, Outlook and databases).
  • About the role:

    Your principal duties and responsibilities will include –

  • Reviewing and processing legacy post (including cheque post if required) and all emails received to the Legacies Department email account, adding relevant documentation to the First-Class database, photocopying or scanning and filling post as appropriate.
  • Recording new legacy cases and all appropriate information, including income, in the databases and setting up regular reviews in line with the Charity’s policy until the completion of the administration, including the weekly import of Smee & Ford notifications.
  • Creating and maintaining BBCRM legator records to reflect the FirstClass database.
  • Supporting the administrative activities of the Legacy Admin Team, as instructed by the Legacy Manager, Senior Legacy Officers, Legacy Officers and Assistant Legacy Officer.
  • Ensuring the charity receives its full entitlement and legal requirements are satisfied by requesting copies of all relevant documentation as outlined by the Legacy Manager, Senior Legacy Officers, Legacy Officers and Assistant Legacy Officer.
  • Assisting with the end of the Charity’s financial year auditing and accruals process. Support independent auditors as and when required.
  • Answering the department telephone line and managing the Legacies Department email account, including responding to general legacy enquiries from solicitors, executors and next of kin, as well as internal requests.
  • What we offer in return:

    Based at the main Sidmouth site, this is a part-time, permanent contract starting on 2 September 2024, working 21 hours per week. The working pattern will be agreed between the line manager and post-holder.
