Facilities Manager

Reporting to: H&S and Operations Manager

Location: London

This role is based in the Property Services department in London, directly responsible for the management of services which cover Office Services, to include Security/Reception, Cleaning, Catering, Vending and other office related service providers.

You will be on point for aligning the facilities services to ensure they meet the standards and values of the organisation in order to support the business in achieving their vision and to help the team in driving office services forward in providing excellent customer services.

Key responsibilities:

Management of contracted facilities staff, including facilities assistant/s, security, cleaning, sub-contractors and maintenance.

  • Effective two-way communication with the onsite team (handovers, in-person conversations, email follow-up, reminders of deadlines and providing support).
  • Lead and own the performance of the Facilities Assistants by setting clear and effective expectations. 
  • Maintain professional standards and ensure that you and the team are wearing the appropriate uniform.
  • Ensure that the Facilities Assistants are competent in and complete all tasks.
  • Support the Facilities Assistants to ensure resource is appropriately distributed across the office at all times. Adjusting shift patterns to provide onsite cover for holiday and sickness.
  • Communicate with the wider Property Services team as required. 
  • Effectively manage all on site services, associated suppliers, costs and carryout contract reviews.

  • Complete daily floor walks and identify areas of improvement. (Basic standards of cleaning, room setup, end user experience, engagement with end users/ ensuring high levels of customer service are delivered, track and resolve feedback) own each task until completion.
  • Lead the contract review meetings as required for your site.
  • Work with procurement to discuss the contracts, agree and monitor KPI’s and make suggestions to improve the services.
  • Pro-active and effective communication with all stakeholders to build your network to ensure they are fully up to date and connected.
  • Produce clear, concise and professional email updates to the office as required.
  • Work closely with finance and ops coordinator to identify cost saving/ avoidance, track office spend against budget, review monthly and resolve issues, escalating to finance and ops manager as appropriate. Request and raise PO’s and approve invoices to the agreed delegated authority value.
  • Carry out all H&S, Security, BCP tasks and support ESG and sustainability activities to comply with legislation, guidance and standards.

  • Act as the building emergency officer for the office.
  • Attend landlord briefings on H&S, Security and BCP.
  • Complete quarterly H&S tasks in accordance with the GATES requirements.
  • Identify ESG improvements, support with associated activities and attend Green Team meetings.
  • The ideal candidate will;

  • Have a BIFM or similar qualification with demonstrable experience of managing Facilities in a corporate environment.
  • IOSH Managing Safely or similar qualification
  • Have experience of managing external vendors in a facilities management role.
  • Have excellent written and verbal communication skills with the ability to develop relationships with different stakeholders across the organisation.
  • Have a good knowledge of Microsoft applications such as MS Word, Excel, PowerPoint and will be computer literate.
  • Be proactive and self motivated.
  • Be passionate about improving existing processes and services in order to provide an excellent service to customers and clients.
  • Have a high level of attention to detail with the ability to multi-task. The role will require strong organisational skills to meet a number of deadlines.
