POSITION SUMMARY:

To provide pro-active day to day facilities office support as necessary. To be an integral component of a dynamic professional and motivated department in a busy agency support services environment.

To support facilities colleagues, the senior management team and Senior Operations Manager as appropriate in a demanding multi-functional support services environment. Manage the meet and greet provision on level 5.

ESSENTIAL FUNCTIONS:

  • Provide the Weber Shandwick client and visitors Meet and Greet service - Level 5.
  • Take full ownership of the Operations helpdesk email. Assign promptly and follow up on outstanding jobs. Flag any issues relating to Health & Safety to the Senior Operations Manager as quickly as possible.
  • Liaise with the appropriate team member to ensure all building issues raised via the helpdesk are remedied as quickly. Escalate any issues to the Senior Operations Manager.
  • Responsible for raising the department’s purchase orders, ensuring that they are logged on the PO tracker
  • Manage the new vendor form process in Range (for purchase orders).
  • Liaison with building landlord team and contractors as required
  • Assist as required to execute client meeting room / event set-ups in a timely manner
  • Assist with agency onsite led events; employee well-being, weekly drinks, summer, and Christmas parties etc. working closely with the Senior Operations Manager ensuring all relevant documentation is in place ahead of the functions.
  • Develop the all-agency events brochure and meet with key stakeholders as applicable
  • Develop the events calendar to ensure all key parties are aware of upcoming events
  • Administration of pet passports and booking in system.
  • To undertake any other facilities duties as deemed appropriate, including enhancing the appearance of the workplace at every opportunity.
  • Responsible for updating noticeboards with all relevant certification to ensure legal compliance. Weekly check of first aid supplies and replenish as required.
  • Responsible for hard copy newspaper / magazine subscriptions –
  • Responsible for locker arrangements for agency employees
  • Responsible for pedestal and office keys, including arranging replacements.
  • Responsible for ordering various agency and department consumables.
  • Develop and complete annual objectives set by Senior Operations Manager.
  • Effectively communicate with rest of the team, line management, service providers and other support staff.
  • Ensure all requests are answered in an efficient manner, with a professional approach.
  • To undertake any training and development as deemed necessary for the pursuance of the post.
  • To work with due regard to Health and Safety legislation.
  • To comply with all policies and procedures of IPG.
  • To undertake any other facility related task as deemed appropriate, including enhancing the appearance of the workplace at every opportunity.
  • EDUCATION, SKILLS, AND EXPERIENCE REQUIREMENTS:

    Education:

  • A general standard of education.
  • Basic Fire Marshal and First Aid training desired.
  • Skills:

  • A working knowledge of front of house operations and telephony systems is essential.
  • A working knowledge of SAP and Vantage would be desirable.
  • Good organisational skills.
  • Customer service skills.
  • Good problem-solving skills.
  • Good written / verbal communication skills with demanding creative / forward thinking people / clients.
  • Ability to work autonomously and prioritise workload in a busy environment.
  • Ability to work effectively as part of a team
  • Good IT skills including Microsoft Word, Microsoft Excel, Outlook.
  • Ability to multitask.
  • Can collaborate to build relationships at all levels of the organisation.
  • The role includes a varied amount heavy lifting (Manual handling training is provided), including but not limited to meeting room set-ups, the movement of office furniture, distribution of all incoming deliveries and photocopying paper.

    Experience:

  • Experience working in a Facilities team.
  • Previous experience of working within a PR / Communications soft services office environment is desirable.
