The Creative Operations Coordinator role is an exciting opportunity to join the growing Monica Vinader Creative team, supporting the planning and smooth running of the end-to-end content creation processes. This role will be responsible for providing day-to-day administrative and operational support to our Creative team.

The ideal candidate will be nimble, solutions-oriented, live to be organised, and thrive in a fast-paced environment. Along with the Creative Operations Manager, this role will serve as the connective point to all cross-functional stakeholders, facilitating alignment between global and local teams regarding their creative needs including imagery, videos, graphic design and concepts.

What you’ll do

As the Creative Operations Coordinator, you will report directly to and work closely with the Content Operations Manager to ensure the timely, budget-conscious, and high-quality delivery of all creative outputs. You will engage with the three core branches of the Creative team (creative operations, shoot production, and graphic design) on a daily basis- keeping track of multiple projects, relaying feedback and considerations from the wider business and within our team.

The role will assist in the project management of our content creation processes- from shot list creation, setting up critical path plans, managing meeting schedules and invites, updating stakeholders on progress to assisting in shoot production. In addition to this, you will also be involved in coordinating timelines and deliverables within the wider Integrated Marketing process including tracking and reviewing incoming briefs, working closely with the design team to ensure their timely delivery. This role will require exceptional communication, organisation and production expertise, with the ability to navigate multiple tools and complex workflows whilst maintaining operational best practices.

Key Responsibilities include:

Collaboration & Stakeholder Management

●Collaborate confidently with stakeholders at all levels within the business.

●Assist with end-to-end project management of graphics and copy briefs.

●Engage in all aspects of pre-shoot and post-shoot production, including content file management and tracking spreadsheet updates.

●Keep teams informed about milestones and deadlines, proactively addressing potential setbacks.

Project Ownership

●Review incoming monthly marketing briefs, ensure they are accurately inputted to our tracker and set internal timelines for approval.

●Schedule calendar invites for deadlines to ensure team alignment with our critical path.

●Coordinate with external freelancers, contractors, and vendors to share and receive contracts, invoices, and briefing documents.

●Set up and distribute all pre- and post-production documentation, such as styling documents, budget trackers, shoot plans, call sheets, schedules, and imagery selects documents.

●Manage administrative elements of shoot planning and logistics, ensuring cost transparency and strict budget control.

●Ensure smooth content retouching schedules and approval processes, communicating deadlines to senior team members and external contractors.

●Regularly update marketing teams on project statuses and asset readiness.

●Properly file and tag all approved content in the digital asset database for easy discovery by the wider business.

●Perform general administrative duties.

Team Assistance

●Assist in the development and execution of creative projects from start to finish.

●Communicate succinctly to minimise lengthy meetings and excess email conversations.

●Support the Senior Art Director and Creative Operations Manager by gathering quotes from external creative teams (photographers, videographers, retouchers, editors, set designers, prop stylists, locations, .

●Collaborate with the Content Operations Manager on budget tracking for all creative projects.

●Content Production Experience: Prior experience in content production, especially with shoot production and budgets, is preferred but not required.

●Technical Proficiency: Confidence in using Excel, Google Docs, and Slides.

●Organisational Skills: Exceptional organisational and multitasking abilities.

●Interpersonal Skills: Excellent communication and interpersonal abilities.

●Budget & Timeline Management: Proficiency in understanding budgets and timelines.

●Attention to Detail: Detail-oriented with a focus on quality and efficiency.

●Digital Asset Management: Familiarity with digital asset management and creative production processes.

Additional Requirements

Ability to document your authorisation to work in the United Kingdom.

Travel Requirements

Occasional travel to our Norfolk office will be required.
