We are seeking an experienced administrator to provide essential support to the Health Care team in Maghaberry Prison. The ideal candidate will thrive in a busy environment with tasks inclusive of; dealing with queries with immediate action, data input, taking minutes, maintaining a filing system, general administrative duties and maintaining absolute privacy when handling sensitive records & health care files.

LOCATION: Maghaberry Prison

POSITION: Temporary Administrative Assistant (Band 3)

PAY RATE: Band 3 £11.67 Per Hour

HOURS: Full time 9-5 Monday - Friday

  • Requirements:

  • Minimum 12 months clerical/ administrative experience essential
  • Full driving license and access to their own car
  • Knowledge of health care/ medical/ public sector highly desirable
  • Ability to work as part of a team
  • Excellent organisational skills with an ability to manage workload
  • Effective communication skills
  • Effective use of administrative systems including MICROSOFT OFFICE and scheduling software
  • Ability to ensure accuracy within own work
  • Confidence in data entry and diary management
  • Ability to demonstrate independent working
  • Minimum 4 GCSE's inclusive of math and English (or equivalent) OR NVQ level two administration (or equivalent) OR two years clerical/ administrative experience
  • Responsibilities:

  • Support to management including; filing, photocopying, dealing with incoming and outgoing enquiries in relation to the healthcare in prison service
  • Ensure the Trust's policy on equality of opportunity is promoted through his/her own actions and those of any staff for whom he/she has responsibility.
  • Cooperate fully with the implementation of the Trust health and Safety arrangements, reporting any accidents/incidents/equipment defects to his/her manager, and maintaining a clean, uncluttered and safe environment for patients/clients, members of the public and staff
  • Cooperate fully with regard to Trust policies and procedures relating to infection prevention and control.
  • Contribute to ensuring the highest standards of environmental cleanliness within your designated area of work.
  • Adhere at all times to all Trust policies/codes of conduct, including for example: Smoke Free policy, IT Security Policy and Code of Conduct, standards of attendance, appearance and behaviour.
  • All aspects of clerical support to support directorate operations ensuring efficient services
  • Diary management
  • Handling of patient records with an ability to keep confidentiality on sensitive data
  • Arranging appointments/ meetings as requested
  • Using relevant computer software and systems ensuring records are maintained accurately
  • Data entry
  • Call handling as required by the department
