Sporting Assistant

Department: Sporting.

Location: Motorsport UK, Bicester Motion.

Hours of Work: Full Time (37.5 hours per week). Core hours are 09:00 until 17:30, Mon – Fri.

Line Manager: Head of Race & Speed.

Direct Reports: None.

Grade: B.

Salary: £28,000- £30,000

Role Purpose

The Sporting department at Motorsport UK plays a key role in facilitating a safe, fair, and fun experience for the motorsport community. This involves ensuring the governance and regulations of the sport are relevant and suitable, as well as reviewing the current landscape of participation, with a view to encouraging greater and sustained enjoyment.

The Sporting Assistant will play a key role in supporting the day-to-day functioning of the Sporting department, placing a particular emphasis supporting the Circuit-Sport disciplines and specifically assisting the Head of Race and Speed with management of the continued success of Circuit Racing and the Speed Event Disciplines.

The team constantly measures the governance of the sport with a view to protecting fairness and the safety of all participants. Sporting is proactive in reviewing, revising, and developing the current landscape of participation, with a view to encouraging greater and sustained enjoyment. By working with Safety and Sporting ensure regulations are relevant, justifiable, and cost effective with a focus on development of discipline strategies.

Professional administration and support to the wider community, including a high-quality network of support to Clubs and Organisers, is essential to the long-term sustainability of the sport.

Primary Objectives

The primary objectives associated with this role will be:

  • Providing administrative, logistical, and organisational support to all areas of the Sporting department, with a particular emphasis on the Circuit-Sport Disciplines.
  • To provide first class support to the Race, Speed and Kart Executive.
  • The job content comprises administrative duties of a varied nature in support of the Organisation.
  • Developing, standardising, and documenting administrative, logistical, and organisational processes utilised in support of the Circuit-Sport disciplines.
  • Providing excellent customer service to licence holders, motorsport clubs, and the public as appropriate.

Additional Responsibilities

In addition to the primary objectives listed above, the Sporting Administrator will be responsible for:

  • Supporting the Head of Race and Speed in all aspects of the role and regulatory function.
  • Liaising with members of the Motorsport UK community via various communication channels (inc. emails, telephone, letters) to ensure their needs and requirements are met.
  • Attending and preparing agendas and producing minutes and regulatory proposals for Committees and Control Panels for the Race, Speed and Kart disciplines.
  • Dealing with correspondence and general telephone queries.
  • Booking flights and accommodation in support of the Head of Race and Speed.
  • Assisting with the administration and renewal process for Championships and Race Series’ which includes regulatory review of proposed regulations.
  • Reviewing feedback received from Stewards reports or other reporting channels, ensuring actions are allocated to appropriate internal resource and resolutions provided.
  • Liaising with other international motor sport governing bodies.
  • Attending events with and on behalf of the Head of Race and Speed (some weekend work may be required).
  • Maintaining databases, issuing training books, and allocating mentors for new Clerks of Course; preparing documentation in the Clerks of Course upgrading process and arranging assessment to fulfil the upgrading process.
  • Assisting with International Series / National Championships with overseas visits.
  • Administering Land Speed Record Attempts.
  • Receiving and coordinating kart class dispensation requests.
  • Receiving and processing kart class data and maintaining the database.
  • Monitoring and responding to queries posted to the Race, Speed and Kart mailboxes.
  • Assisting and supporting other projects or areas of the Sporting team, as required.

  • Evidence of implementing new ways of working to improve both efficiency and effectiveness.
  • Foundational software skills / experience, including Microsoft Suite, Adobe, Collaborative platforms (SharePoint, Google, similar).
  • Able to work independently and within a team.
  • Research and planning skills
  • Excellent administrative skills.
  • Eligible to work in the UK.
  • The ability to travel to and from the Motorsport UK offices in Bicester, Oxfordshire.

Desirable

  • Ideally 2+ years’ experience (either working or competing) and knowledge of the Circuit-Sport disciplines, as well as a passion for motorsport in general.
  • Familiarity with the governance structure of International Motorsport (FIA Sporting Codes).
  • Familiarity with the governance of UK Motorsport and the Motorsport UK Yearbook (Blue Book).
