The purpose of this document is to describe the role of the organisation’s Registry support officer as the organisation prepares to move to the next stage of its strategic development. Overview of Role of Registry Support Officer:

The Registry support officer is a vital part of the academic administration of VCAD across all its campuses. He/she is accountable for the management of:

  • The student contract with VCAD.
  • The processes underpinning the student journey & the organisation’s academic offer.
  • The conduct of all assessment panels and liaising with our collaborative partners.
  • Data on all students and courses which contribute to the organisation’s ability and capacity to effectively manage and deliver on its activities.

Key Responsibilities:

The key responsibilities of the position of Registry Officer include:

  • Managing student and course administration and related processes & practices to ensure that they are efficient and effective.
  • Ensuring that the activities of Registry are well-planned and in line with the VCAD annual cycle of business and commensurate with a facility for flexibility and an ability to be responsive to unexpected challenges.
  • Making sure that the processes relating to the enrolment and re-enrolment of students are appropriate and effective and supportive of the recruitment and retention of students by VCAD.
  • Ensuring that the student assessment process is well-managed, that all aspects of the same are fair and secure and that the results are correctly recorded and that assessment boards/panels are properly organised and supported.
  • Delivering effective timetabling of classes which has regard to the efficient use of available resources.
  • Providing reliable information for students and Lecturers as to all aspects of class timetabling.
  • Making sure that all courses are appropriately supported administratively.
  • Ensuring that individual student issues – mitigating circumstances, complaints, appeals and student disciplinary hearings etc. are arranged and conducted fairly and consistently with decisions being taken in a timely manner, properly recorded and effectively communicated to the student in question.
  • Participating in all necessary preparation and work in relation to regulatory body and collaborative partner University visits/meetings

Additional Responsibilities:

  • Ensuring that the organisation’s contract with students in relation to academic matters is clear, fair and meets all necessary external requirements.
  • Ensuring that the content of relevant areas of the VCAD website is accurate and up to date.
  • Attending all necessary and relevant meetings as required; &
  • Such other reasonable and relevant duties and responsibilities as the academic Register/Academic Dean may require from time to time.

Educational Qualification Required:

Essential: Bachelor from any UK university

Desirable: Masters from any UK university

Experience required:

Experience in working HEI sector in admission or registry department.

Skills and Abilities:

  • The ability to listen, provide empathy and act with discretion as required.
  • The ability to effectively lead and manage team across multiple campuses.
  • Proven IT skills (Microsoft programs and online resources).
  • Outstanding organisational skills.
  • Excellent communication skills, written and verbal with people at all levels.
  • The ability to create innovative ways to communicate and support students.
  • Project planning and management skills with the ability to see tasks through to completion, to work at pace / under pressure and to meet deadlines.
