Join the esure team as a part-time Receptionist!

As a member of the facilities team, you will ensure that all services provided by the reception team operate efficiently to assist with the smooth operation of the business.

You will provide and maintain reception services to the standards required to facilitate and promote the business productivity, with minimum risk to efficiency and personal safety, pro-active financial control and asset management and be constantly prepared for change.

Experience in a front of hour role is required for this position. The ideal candidate should meet and greet all internal/external customers in a friendly and open manner whilst maintaining a positive demeanor.

This is a part-time role based on 21 hours per week: Monday, Tuesday and Wednesday. Preferred hours are 08:00 – 16:00.

  • Maintain a professional standard of customer service at all times.
  • Ensure that meeting rooms are not doubled booked.
  • Ensure car parking is all logged & timed as appropriate to maximise use of the car park for visitors & contractors.
  • What will my role entail:

  • Answering on average 100 telephone calls per working day promptly and courteously within three rings and transfer calls in accordance with the company standard.
  • Ensure accurate messages are taken and passed on via email, MS Teams or through voicemail system.
  • Ensure all visitors (receiving approx 5000 per year) are greeted on arrival and issued with access passes, and where required inform these visitors of the building’s Health and Safety requirements and acknowledged all visitors on departure.
  • Assist security in ensuring that only authorised persons are admitted access to the building by checking that all staff, visitors and contractors are wearing an official esure identity/access pass.
  • Support with supervising the reception desk mounted CCTV monitors and intercom systems.
  • Process facilities related jobs via our Planet MRI system
  • Advise fire Marshals of the location of any visitors who may require assistance during a fire evacuation.
  • Manage the booking of interview/meeting and conference rooms as and when required. Check meeting rooms daily to ensure correct layout and stationary support.
  • Continuously developing their knowledge of the different departments so that calls can be directed effectively and efficiently.
  • Work together and with resource planning / Real time to compile monthly switchboard report
  • Alternate shift pattern’s weekly to enable rotation of start/finish times.
  • Ensure knowledge of all promotional activities to direct calls effectively and efficiently.
  • Answer calls within the average call answer time stated to ensure that the abandoned call rate is below 5%.
  • Prepare handover to security team for night time operation.
  • Assist Facilities and Post room staff during periods of sickness and holidays.
  • Qualifications

    You are a good fit for the role if you have the following

  • Knowledge of Lucent Attendant Console 302c, Avaya or a similar switchboard system
  • Front of house or Customer service experience
  • Keyboard skills
  • Understanding of the use of Microsoft Word, Excel, Outlook, Teams and SharePoint etc
  • excellent organisation and time management skills and have a keen eye for detail.
