About Cycle Together LTD

Cycle Together is a social enterprise, founded by siblings Biola and Kunle Babawale, dedicated to making cycling more accessible and inclusive for people of all ages, backgrounds, and cultures, particularly those who are underrepresented in cycling within their local communities.

We provide cycle training, bike mechanics workshops and health and wellbeing workshops to help people develop skills, be more connected to their community and to tackle health inequalities.

We provide a vibrant cycling community to create a safe environment to learn and enjoy cycling for both leisure and active travel.

Cycle Together is seeking an ambitious person to organise and manage a delivery of a community-based cycling programme in London and associated health and wellbeing workshops.

About the Role

We are looking for an experienced Programme Manager to work as a Consultant for a three month project.

The Consultant will oversee all aspects of Cycle Together’s Training programme services.

Reporting to Cycle Together’s CEO, you will have the opportunity to play a key role in Cycle Together’s ongoing development.

As Cycle Together’s Programme Manager, you will be supported by our Head Cycling Coach.

You will be responsible for the development and delivery of Cycle Together’s programmes.

You will work collaboratively with key staff including our Head Cycling coach, CEO and lead for Health and Wellbeing.

In addition, you will be expected to support our CEO in creating new partnerships with potential customers including Bike Brands, Service Providers, Local Councils and venues hosting cycle training.

You will also work with the CEO and Directors on the development of future bids.

Key Tasks and Responsibilities - Essential

Find and train staff, coaches and ride-leaders for programmes

  • Work alongside the Head Coach to recruit Ride Leaders and Cycling Training Coaches
  • Create and Manage an Onboarding Process for New Ride Leaders / Coaches - Providing essential information and resources to facilitate a successful integration into Cycle Together
  • Work alongside the Head Coach to Create Teaching Aids / Teaching Scripts to aid new coaches running cycling programmes
  • Perform Quality assurance checks of new coaches / ride leaders
  • Conduct spot checks at cycle training sessions to ensure quality delivery
  • Work alongside the Head Coach to create development plans for coaches and give regular feedback on delivery
  • Recruit contractors for workshops - Including bike mechanics, health and wellbeing experts
  • Line management, coaching and developing responsibilities for the coaching and rider-leader team
  • Develop and review cycle training programme and learning tools as required, ensuring training meets relevant Cycle Together standards
  • Work on other training or consultancy projects as required

Develop and Maintain Digital Learning Platform

  • The Cycle Together Digital Platform - is a user-friendly computer/iOS/android platform which enables easy communication with participants, calendar events, short articles and informative videos. This platform is intuitive and easy to update
  • Maintain Digital Learning Platform to include calendar of training events (an intuitive platform which is already in use by previous programme participants )
  • Communication with participants, coaches and ride leaders via Digital Learning Platform Chat Function
  • Work alongside the Head Coach to oversee and update the Digital Learning Platform with focus on improving user experience as well as driving increased engagement.
  • Review and add-to resources across the Digital Learning Platform ensuring content is easily digestible for all individual learners.
  • Assist in the execution of various cycling and health and wellbeing learning initiatives to include bike mechanic and route planning workshops and health and wellbeing seminars - design and recruitment of experts for learning initiatives
  • Help to review and update Digital Learning Platform to ensure they remain on-brand, accurate, consistent and high quality

Coordinate and Promote projects and Activities

  • Be the first point of contact for programme related enquiries and amendments
  • Be present to supervise programme / manage issues during the day
  • Develop and oversee various levels of governance within the programme, e.g. community members/target group, feedback from ride leaders and coaches, feedback from programme/project commissioner - local councils and private companies.
  • Lead on partner relationship management
  • Where gaps in provision are identified, facilitate partnership discussions and feed into the learning cycle to ensure decisions are made in a timely fashion.
  • Planning and operational management of cycle training programme, management, through to execution and post-event analysis, surveys and collection of event feedback
  • Arrange Ride Leaders / Coaches for Programme when coaches are missing
  • Arrange sessions to showcase best practice and act as a mentor / arrange mentorship to coaches / Ride-Leaders
  • Upselling our other services through communication with clients
  • Debrief post event and assess opportunities for future improvements
  • Provide clear leadership with regards to compliance with all health and safety procedures and requirements, fixing or escalating issues as appropriate.

Monitor and Evaluate Project

  • Ensure the programme is capturing all data required to enable continuous improvement of the programme.
  • Ensure that data is analysed to demonstrate important intelligence and impact and the relevant information is shared with Team
  • Manage delivery of the insight and impact of the programmes including a Human Learning Systems approach to insight, and Social Return on Investment
  • Act as an ambassador for Cycle Together, promoting its values and programmes.
  • Manage the programme KPIs to achieve growth and programme success while monitoring the participant experience data to improve service and retention
  • Prepare weekly update reports
  • Manage budgets and resources effectively to maximise the reach and impact of programmes.
  • Download and create all relevant registers for each session
  • Create surveys and devise other ways of monitoring participant satisfaction
  • Create, update, communicate and manage the overarching programme plan, budget, and work with partners for evaluation. Ensure the plan reflects the bid and where plans have diversified, ensure rational is communicated to the partnership and commissioners.
  • Ensure end of programme reporting offers evidence of the value and impact of the partnership in readiness for re-commissioning

Tasks and Responsibilities - Desirable

Public Relations and Media

  • Work with the Communications (comms) Officer and CEO to create a communications strategy and delivery plan that will be shared with partners and funders.
  • Work with the Comms Officer to ensure that comms reporting metrics are determined so that appropriate data can be captured.
  • Work with the Comms Officer throughout the programme to collect impact stories and case studies from participants
  • Work closely with future and current partnership and the Comms officer during the running of programmes
  • Work with the Comms Officer to ensure that the voices of people with lived experiences are embedded in the strategy of the programme
  • When feedback/steering is provided, ensure it is fed into the learning cycle.

Future funding, Manage Resources and Budgets

  • Support CEO and Lead of Health and Wellbeing in the search and submission of grant applications / bids
  • Throughout Programme - ensure appropriate performance, impact and financial reporting processes are established for any grant elements governance procedures, and standards.

Essential Requirements

  • 5+ years of experience in Programme Coordination / Management
  • Experience of project management including planning, developing, implementing, monitoring, evaluating and reporting on performance
  • Experience working in the Cycling / Sports Industry is not essential, as you will be working closely with our Head Cycling Coach, CEO and Head of Health and Wellbeing
  • Good IT skills and the ability to be independent administratively
  • Comply with policies, procedures and legal requirements, such as those set out in GDPR, Health and Safety at Work Act 1974 and Equality Act 2010
