An exciting opportunity has arisen for an experienced Personal Assistant to join a leading financial services organisation based in Manchester city centre.
This is a 12 month fixed-term contract supporting the MD.
This will be an office based role, and candidates will need to be flexible with regards to hours support to meet the needs of the business and Principal.
Candidates will have previous experience as a PA supporting at a senior level, and be used to working in a fast-paced environment.
Duties will include:
- Diary Management: Schedule, reschedule, and confirm meetings, ensuring the MD’s calendar is up-to-date.
- Meeting Preparation: Collate materials, research attendee profiles, and provide briefings and debriefings for the MD.
- Meeting Coordination: Arrange meetings involving senior executives, working across time zones with high discretion.
- Relationship Building: Foster strong relationships with other Assistants and internal and external stakeholders.
- Liaison: Regular interaction with internal management, financial staff, and external parties.
- Event Coordination: Organise meetings, lunches, and dinners, both internal and external.
- Travel Management: Book travel for the MD and team, produce itineraries, and ensure compliance with travel policies.
- Expense Management: Prepare and submit expense reports, ensuring accuracy and compliance with policies.
- Initiative Support: Assist with team and Firm-wide initiatives as directed by the MD.
- Email Management: Ensure prompt responses and manage correspondence efficiently.
- Presentation Creation: Develop PowerPoint presentations for internal and external use.
- Project Support: Lead and support ad hoc projects as required.
- Personal Administration: Handle personal tasks such as booking travel, hotels, and event planning.
Person Specification:
- Previous experience in a PA role supporting at a senior level.
- Excellent organisational, oral, and written communication skills.
- Detail-oriented with strong prioritisation abilities.
- Discreet and able to handle confidential information.
- Effective decision-maker with excellent judgment.
- Proficient in Microsoft Office, including PowerPoint and Excel.
- Positive, flexible, and service-oriented attitude.
- Resilient in high-pressure environments.
- Flexible, resourceful, and able to act decisively on own initiative.
- Confident with an outgoing personality and practical problem-solving skills.
- Ability to interact with all levels of staff and maintain confidentiality.
