We have a fantastic opportunity for a dynamic and enthusiastic individual to become a vital part of our established team at HMP Addiewell , as a Personal Assistant  to the Director.

What the Job Looks Like:

As the Personal Assistant to the Director at HMP Addiewell , you will be responsible for delivering timely and efficient administrative support to the Director and Deputy Directors. This includes managing their diaries to optimise their time, ensuring meetings are held promptly and efficiently, and maintaining effective communication with both internal and external stakeholders. You will also be the professional face of the Director's office, upholding the company's image with Sodexo employees and a diverse range of external organisations, including the public sector. 

In this role, you will handle the Director’s mail, prioritising and responding to communications, and organising appointments and travel arrangements. You will also manage confidential files, perform secretarial duties for selected meetings, and assist with the prisoner complaint processes relevant to the Director . Additionally, you will oversee the physical environment of the Management Suite, ensuring it is well-maintained and fully equipped. You will be expected to support ad hoc assurance activities, manage the Gifts, Hospitality, and Ethics Register, and liaise with the Contract Management Team and Sodexo Head Office.

The Ideal Candidate:

Essential:

  • Proven experience of working as part of a team and managing multiple priorities.
  • Excellent organisational skills and ability to prioritise work effectively.
  • Strong communication skills, both written and verbal.
  • Ability to maintain strict confidentiality in all sensitive matters.
  • Self-motivated with a flexible approach to working patterns.
  • Proficiency in office management software and systems.

Desirable:

  • Previous experience in a similar assistant role.
  • Familiarity with the public sector and/or working within a prison environment.
