Job Purpose

The Steam Packet House office team are the front of house ambassadors for the Betfred head office based in Manchester city centre.

As a key member of the team, the Office Assistant plays a prominent part in creating a welcoming environment for all colleagues and visitors as well as assisting the Office Manager in running a busy office and reception, ensuring they are always presentable and functioning effectively.

Overall, the Office Assistant undertakes a pivotal role in maintaining Betfred’s reputation through exemplary front of house services and impeccable office maintenance, thereby enhancing the overall experience for both employees and visitors at Betfred.

Job Duties

  • Welcome and greet guests as they arrive at the office, directing them to the appropriate departments or individuals.
  • Maintaining an awareness of VIP visits and any activities taking place within the office
  • Answering incoming calls efficiently, taking messages and informing callers that the person they wish to speak to is available by email only
  • Managing room bookings for meeting rooms.
  • Ensuring that meeting rooms are set up in accordance with each meeting’s requirements. Working with housekeeping to reset and restock rooms at the end of each session in preparation for the next meeting.
  • Proactively organising refreshments, including food, for meetings and events as required.
  • Working with housekeeping to ensure the building is fully stocked with all consumables, raising POs and placing orders.
  • Supporting the People team with new starter inductions, including H&S and fire safety induction, generating access cards and hosting site tours.
  • Acting as a point of contact for all building and office queries, working with the Office Manager to ensure issues are resolved quickly and effectively.
  • Supporting the Office Manager with the events calendar, organising and hosting events for colleagues at SPH, aligning with other BF head offices.
  • Acting as the first point of contact for colleagues, monitoring the office inbox and dealing with complaints or general enquiries, escalating matters to the Office Manager as required.
  • Supporting the Office Manager with health and safety tasks including fire marshal and first aid provision and managing the accident book.
  • Managing the booking system for Betfred apartments and working with housekeeping to ensure effective changeovers.
  • Ensuring that any reported building or amenity faults are escalated to the Office Manager in a timely manner.
  • Assisting with building facilities and maintenance tasks as required.
