Office assistant- Interim 6 months

London- 5 days a week on site

£180-200 per day

Network HR have been retained to lead the hire of a temporary Office assistant on a 6-month temporary contract for a bespoke international financial services firm. The Office assistant will provide a first-class administrative support to their fast- paced and vibrant business in London, and be the point person for partners, employees, visiting guests and high value shareholders. You will be responsible for providing dedicated support in undertaking a range of administrative and coordination tasks using initiative. The successful Office assistant will be a self-starter who is a confident communicator, anticipating the needs of internal stakeholders and clients and provides prompt action to ensure efficiency and effectiveness. Other responsibilities will include:

Office Management

  • Ensure consistent coverage in the office, acting as a point of contact alongside the Office Manager
  • Assist with coordination and preparation of internal and external meetings, room booking, visitor booking, arranging catering, and providing in-person support during meetings.
  • Provide admin support for booking couriers, ordering kitchen supplies, stationery, and maintaining of plants within the office.
  • Distribute all incoming and outgoing post.
  • Collaborate with the Loading Bay to promptly handle all deliveries
  • Book and greet external visitors upon arrival at reception
  • Liaise between the business and Building Management as needed, ensuring all meeting room equipment is operational, escalating issues to the Office manager and IT Manager
  • Ensure all kit on office desks is complete, flagging any missing items to the Office Manager
  • Help keep the kitchen space clean and tidy throughout the day.
  • Monitor and maintain the coffee machine, ensuring consumables are stocked and the machine is clean
  • Order equipment for new starters and staff in coordination with the Office Manager and IT Manager
  • Manage user access within IT systems such as Appspace.
  • Assist the Social Committee in organising office events
  • Assist in screening phone calls and voicemails to the office telephone, forwarding messages to the relevant person or team.
  • Provide cover for the Office Manager during their absence.
  • Assist with any international travel in the absence of the Executive Assistant
  • Support data entry as needed by the business.

The successful Office assistant will have at least 12 months experience operating in a similar role. We are looking for an immediate start.
