Role purposeSupporting the Facilities Management Manager and team, primarily by processing and updating the AutoTask for all planned and reactive maintenance.

Also to ensure optimum compliance, safe control of contractors, including implementing appropriate escorting resource, and working collaboratively with business unit managers and schedulers to ensure minimal disruption to the business.

This role will be based in Wimborne, Dorset, and will cover our other sites in Cumbria and Sturminster Marshall, Dorset.

Salary circa £27,000 dependent on skills and experience.

Key Responsibilities:

  • Act as the Subject Matter Expert on effective management of the AutoTask system.
  • Scheduling with minimal disruption to the business. Conduct the weekly fire alarm testing and record appropriately.
  • Supporting audit action compliance in a timely manner.
  • Ensuring the control of contractors with the appropriate level of escorting as per business requirements including self as required. 
  • Producing a weekly report of statistics for the Facilities Management Manager.
  • Raising purchase order requisitions to progress reactive tasks up to Delegation of Authority agreed with Facilities Management Manager.
  • Manage the essential functions of the reception desk independently in the event of absence of others to a professional standard and as per process and procedures.
  • Supporting an on-call rota for out of hours support.
  • Hire car booking and management.

Skills, Qualifications, and Experience:

  • Experience working as part of a facilities team.
  • Awareness of health and safety.
  • Excellent written and verbal communication skills.
  • Negotiation skills.
  • Can apply attention to detail concisely and accurately.
  • Managing conflicting priorities under pressure.
  • Competent software user (MS Office, ticketing management systems, HSE software).
  • Experience working on a reception desk.

Desired Skills:

  • Experience working within a highly regulated industry with controlled materials.
  • IOSH Qualification
  • Understanding of the permit to work system

Essential Functions :

  • Participate in the Out of hours rota
  • Ability to obtain a UKSV security clearance and must be a UK national.
