Bid Manager

Working as a member of the bids team this role will involve assisting teams throughout the business to win bids by helping teams to determine what the client is really looking for. The Bid Manager will be responsible for managing an opportunity through the end-to-end bid process, ensuring all bid team members are aware of the client requirements. Successful candidates can be based in any one of our Edinburgh, Glasgow, London, Reading, Bristol, Birmingham, Manchester or Leeds offices. 

Bid  Management

  • Chair meetings to evaluate opportunities (go/no go decisions)
  • Work with Engagement leaders and their teams to develop the response to the invitation to tender (chair kick off meetings with the team to discuss and identify differentiators and evidence to support this)
  • Facilitate the team to identify key messages and differentiators for the bid and lead the creative process.
  • Develop bid responses and creative output.
  • Create and maintain the bid plan ensuring deadlines are set and communicated to the team.
  • Work with the Bid Executive to develop first draft of response and tailor this to the key messages.
  • Coordinate responses from the wider business.
  • Coach and challenge the teams on client interaction at all stages of the bid cycle
  • Facilitate the thinking and ideas for a presentation, help the team to shape their presentation, coach individuals and the team through 'dry runs'
  • Ensure a debrief takes place both with the client and the internal bid team.
  • Champion bid best practice at all times and provide guidance to teams on the bid process.
  • Communicate key learnings from bids across the bids team and where appropriate the wider marketing team.
  • Participate in bid improvement projects.
  • Reporting

  • Update bid tracker and CRM system.
  • Ensure the reports and dashboards in Kimble are maintained and up-to-date.
  • Assist with the management reporting requirements including bid summaries, win/loss and pipeline reporting.
  • Team Responsibility

  • Mentor Bid Executive, helping to train and develop on bid management techniques.
  • Share ideas on bid best practice and continuous improvement.
  • Wider business role

  • Work with Designer to generate new ideas on how we can present our tender responses
  • Assist key stakeholders on prospecting initiatives
  • Play a key role in the end-to-end bid process including capture and post submission phases.
  • Experience and Competencies

  • 5+ years experience in a bids role
  • Experience of managing multiple projects with time-critical deadlines
  • Ability to persuade, influence and challenge in a constructive manner and identify appropriate solutions
  • Excellent attention to detail
  • Strong written and oral communication skills.
  • Excellent skills in Microsoft Office Suite
  • Excellent interpersonal and influencing skills - this job is about challenging and coaching people of all levels (including senior people) in bids best practice
  • Strong creative ability, understanding brand, design and layout
  • Ability to work independently and flexibly with a strong use of initiative
  • Organisational skills with the ability to deliver a high volume of quality work
  • Capacity to prioritise and work across multiple projects
