Main Purpose of the role

  • Responsible for controlling the receipting in of materials being delivered.
  • Being the contact for booking in vehicles onto the database to ensure no double bookings of deliveries.
  • Updating the Freight log to ensure the costings and receipting is completed.
  • The position also includes front of house receptionist where you will be the first face for De La Rue WestHoughton taking phone calls from incoming visitors, customers, and deliveries.  All visitors booked onto site and the host contacted.

Key Accountabilities 

  • Input details into the Visitor Log to provide notice to site
  • Housekeeping (working to 5S standards ensuring areas of responsibility are clean and tidy).
  • Ensure visitors are booked onto site correctly and complying with our internal visitor and contractor requirements
  • Work closely with Executive Administrator to the Plant Manager
  • Update SOPs for Goods In
  • Manage own areas of the electronic filing system, keeping records, documents and folders up to date and accurate.
  • Check invoice payments monthly, Liaise with head office of any receipting queries
  • Plan and book deliveries in line with the customer delivery schedule.
  • Complete deliveries with out suppliers to ensure arrival of materials in good time
  • Liaise with visitors to site in a professional manner and ensuring the host is contacted to ensure a smooth transition from entering the building to be welcomed by the host
  • Supporting the Executive administrator in all VIP visits
  • Excellent Phone manner who can take calls and pass on or take messages in a professional manner
  • Communicator who is able to organise themselves and their workload on a daily basis.  Forge and maintain excellent relationships with suppliers and customers,
  • Team player who is capable of providing cover and flexibility to other areas during periods of sickness, holidays and increased work tempo.
  • Communicate contract changes to stakeholders and advise colleagues in a timely and effective manner.

Pre-requisites

  • Experience in a similar role
  • Excellent numeracy skills.
  • Experience in busy fast paced environment desirable.
  • Excellent communication skills. 
  • Flexible and adaptable.
