Admin / Purchasing Assistant Chelmsford£18,000 - £25,000gap construction are proud to be representing a well-established and hugely renowned groundworks and landscaping company in their search for an Admin/ Purchasing assistant to work at their office in Chelmsford.Admin/ Purchasing Assistant ResponsibilitiesSecretarial work and provide senior managers with day-to-day administrative support.Providing overall support to the wider teamHandling emails, letters, phone calls, and other forms of communication, both incoming and outgoing. Responding to inquiries, forwarding messages to the appropriate individuals, and drafting or editing documents.Answering phone calls and managing correspondence, scheduling appointments, and making travel arrangementsReceiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.Schedule appointments, meetings, and events for their team or superiors. Coordinating calendars, booking meeting rooms, sending out invitations, and ensuring that everyone is aware of their schedule.Keeping accurate records.Responsible for maintaining files, databases, and other documentation. Including organizing physical files or managing digital records using software systems.Processing invoices, managing expense reports, reconciling accounts, and assisting with budget preparation.Interact directly with clients, customers, or visitors to the office. Answering inquiries, providing information or assistance, and ensuring a positive experience for anyone contacting or visiting the organization.Communicating with suppliers to obtain quotes, negotiate prices, and ensure timely delivery of goods and services. Generating purchase orders based on approved requisitions or requests from various departments within the organization. Assisting in maintaining accurate inventory records, tracking stock levels, and monitoring reorder points to prevent stockouts. Research to identify potential suppliers, compare prices, and evaluate product quality.Organizing and maintaining purchasing documents such as purchase orders, invoices, delivery receipts, and contracts.
