A fantastic opportunity has arisen for a Personal Assistant to join a reputable commodities organisation based in Scotland on a permanent basis.

This is a varied and hands-on role supporting the CEO of a business with a global reach. The company are based in Greenock and it is a full-time office based role.

There is scope for this role to grow over time, for the right candidate. The position would suit someone with previous experience supporting at a senior level, for whom no job is too big or too small.

Duties will include:

Full diary management
Organising meetings
Arranging travel, visas and accommodation where necessary for CEO and other staff
Sending out comms on behalf of the CEO
Co-ordinating Christmas cards & gifts
Arranging Christmas night out
Arranging events and dinners when required
Making invites and maintaining invite list
Co-ordinating Manchester United matches, guests, travel
Managing several mailboxes
Dealing with mail both business and personal
Meeting and greeting visitors/customers
Ensuring smooth running of any visits
Dealing with all bookings internal for meeting rooms
Summarising bank statement on a monthly basis
Ensuring smooth running of the office including inventory and supplies
Liaising with landlord on repair work, keys/FOBS and any office work required
Liaising with office contractors/suppliers as appropriate
Compose & send out introduction and follow up emails
Compose general correspondence
Low-level HR support including sending out reference checks, tracking annual leave etc
Private support including supporting members of family, helping with birthday events, trips, vehicle admin, utilities for properties, liaising with agents and dealing with personal bank accounts

Person Specification:

Previous experience in a PA role supporting at a senior/CEO level
Ability to use initiative and be proactive
Confident spinning multiple plates and working in a fast-paced environment
Team player who is happy to get their sleeves rolled up and stuck in
Professional, discrete and trustworthy
Flexible and adaptable when needed to meet business needs
Excellent verbal and written communication skills
Proficient in Microsoft packages including Word, Outlook, PowerPoint and Excel
Well presented and able to build rapport within all levels of seniority both internally and externally
