Job Summary


We are seeking a highly organised and detail-oriented individual to join our team as an Administrator for a 1-year maternity cover. The successful candidate will be responsible for a variety of administrative tasks, ensuring smooth and efficient office operations. This is a part-time position requiring 24 hours per week.


Key Responsibilities



  • Sort and distribute incoming mail to relevant departments.

  • Scan and file documents as necessary.

  • Frank outgoing mail.

  • Telephone and Email Management.

  • Answer telephone calls, take messages, and transfer calls as needed.

  • Respond to client email queries promptly and professionally.

  • Meeting Coordination.

  • Organise monthly team meetings.

  • Prepare and distribute meeting minutes to all staff.


  • Office Supplies and Maintenance:



  • Maintain inventory of office supplies, including stationery, cleaning products, and drinks.

  • Manage office maintenance requirements and coordinate any necessary repairs.

  • Ensure meeting rooms are kept clean, organised, and client-ready.


  • Administrative Support:



  • Perform general administrative duties such as filing, binding, and scanning.

  • Print and maintain a supply of first appointment packs for all advisers.

  • Prepare client information for advisers for their meetings.

  • Send out documents for clients to sign and follow up to ensure their timely return.

  • Run Anti-Money Laundering (AML) checks.

  • Ensure client information is updated accurately in our systems.

  • Issue customer satisfaction surveys to clients.


  • Staff Engagement:



  • Organise staff collections, and order occasion cards and gifts.

  • Required Skills and Qualifications

  • Organisational Skills: Strong ability to manage multiple tasks and prioritise effectively.

  • Attention to Detail: Keen eye for detail to ensure accuracy in all tasks.

  • Communication Skills: Excellent verbal and written communication skills.

  • Problem-Solving: Solutions-oriented approach to handling tasks and resolving issues.

  • IT Proficiency: Good IT skills, including proficiency with Microsoft Office suite (Word, Excel, Outlook).
