The Role

We are actively seeking candidates for an instrumental role, Operations Manager, reporting directly to the COO. This is a temporary position (maternity cover, initially for 12 months).

The Operations Manager will be responsible for day-to-day operations delivery and enhancement of service delivery. They will oversee and optimise clinic resources, focusing on maximising room, equipment, and clinician utilisation through strategic clinic scheduling, both short and long term. This role involves collaborating with various teams to streamline workflows, enhance operational efficiency, and elevate the patient experience within the clinic environment.

This role is for someone who has excellent operational capability and who has experience of working in a private healthcare setting previously.

Key Responsibilities

Resource Optimisation & Management
Manage clinic resources efficiently, maximising room, equipment, and clinician resources through effective scheduling.
Evaluate resource requirements and make necessary recommendations to the marketing and administrative teams to align demand to supply and vice versa. Recommend adjustments to clinician working patterns to help clinic optimisation.
Short term: Day to day resource planning: creating and publishing admin and nursing team's rota to ensure equitable distribution, allocating daily tasks and managing annual leave requests.

Workflow Enhancement
Review and enhance workflows and Standard Operating Procedures (SOPs) to improve efficiency and elevate patient experience.
Initiate and implement new services/products and pathways when required, aligning with the organisation's strategic goals.

Supplier Management and Cost Optimisation
Collaborate with the management team to review pricing from core suppliers.
Source and engage external services ensuring value for money.

Resource Planning
Assist in the future resource planning process, ensuring sufficient resources to support with the organisation's goals.

Clinician Support and Onboarding
Collaborate with clinicians to increase availability and support onboarding processes.
Coordinate with visiting consultants, facilitating efficient setup of new clinics and services.

Revenue Maximisation and Service Optimisation
Recommend pricing strategies by monitoring market trends and maximising revenue, especially through emergency appointments.
Review patient feedback to optimise services.

Technology Integration and Reporting
Utilise technology software, such as Semble and Excel, for operational efficiency.
Generate reports on resource utilisation and operational efficiency, providing insights to senior management.

Qualifications and Skills

Proven experience in operations management within a clinical/healthcare setting.
Strong analytical, organisational, and problem-solving skills.
Excellent communication and interpersonal abilities for effective collaboration.
Familiarity with technology used in clinic operations, such as Excel and patient management systems (e.g. Semble).
Positive attitude and demeanor.
High attention to detail.
Discretion; the nature of our work is confidential and often sensitive.
A willingness to pitch in and work outside of the core responsibilities of the role; we are a small team and we all work as needed from time to time.
