Hays Recruitment/ Office Administrator Basic: £20,000-£23,000 Oxford based (OX2 0JJ) with Hybrid working available This is a fantastic opportunity for someone to gain full exposure to all aspects of an Administrative based role in a sales driven culture. You will be working within a well- established, global company (32 countries worldwide) Hays are also listed on the London Stock Exchange and is a constituent of the FTSE 250 Index. We are open to applications from candidates who have no experience in Admin or candidates who may be looking for a career change. KEY ACITVITIES/DUTIES: General Admin/Data Input: - Provide administrative and organisational support for your allocated Teams/Specialism(s)
- Updating daily spreadsheets for Directors, Managers and Consultants
- Providing ad-hoc sales/data reports as required
- Updating/formatting candidate CVs occasionally
- Filing / scanning / printing of documents
- Assisting in preparing regular reports for Specialisms
- Attend internal meetings when required to take action points
- Assist in co-ordinating client and candidate events for the region
- Assist in co-ordinating and supporting regional and central incentives and events
- Assist the team in creating and formatting PowerPoint presentations when required
- Maintain fee trackers for Directors
- Email distribution list management for Specialisms
Office Management: - Maintenance and management of office and IT equipment.
- Process travel requests
- Ordering office stationery, collateral and merchandise and monitoring and managing the use of this when required
- Other adhoc office management and admin duties as required
- Organising external visitors and contractors and being available on site during visits
- Being the first point of contact for queries from the property team
- Assist managers in preparing for new starters. Supporting with onboarding requirements, ensuring IT equipment is set up and preparing welcome packs for day 1 starters
- Assist the managers and director with HR Administration related to managing holiday requests, absence and starters/leavers
Health and Safety: - As appropriate to train and act as a First Aider and/or Fire Warden for the office
- Immediately report any injuries, incidents, accidents, hazards or near misses to the Director, the First Aid Officer or the H&S team
- Follow all reasonable instructions from the Admin Manager/Director in relation to H&S
