ABOUT THE ROLE To provide effective and confidential administrative support to the Global HR team. MAIN TASKS & RESPONSIBILITIES To perform general administration activities e.g. typing, e-filing, KPI reporting, compliance tracking, maintenance of Global HR Sharepoint site Creating and managing documents, spreadsheets and presentations Responsible for maintaining HR trackers, for publishing the information appropriately and for escalating performance issues where necessary To co-ordinate and organise communications, meetings and travel, ensuring costs are effectively managed Assisting with various finance tasks such as invoicing, budget tracking To undertake specific improvement projects in support of the function To support the end-to-end recruitment process of Global roles including raising of documentation, pre-screening of applicants, interview logistics and tracking on-boarding progress To effectively deal with any internal/external communications/telecommunications, providing a professional customer service image Prepare training materials used for the cascade of new HR processes Responsible for the input, report generation, retrieval and maintenance of HR data within the HR Data Management System Consolidate, check, analyze & prepare monthly HR reports Perform periodic auditing of HR data to ensure accuracy and compliance SKILLS AND EXPERIENCE ESSENTIAL 3 years of successful experience in HR administration/ reporting Previous experience of HR systems experience preferable but not essential Must demonstrate a high level of interpersonal skills and have a keen sense of discretion IT skills - Ability to use Microsoft Office software and to adopt and adapt to new software i.e. SAP SuccessFactors Fluent in English, with good written/verbal communication skills Effective time management and the ability to prioritise workload effectively Rigorous approach with high level of attention to detail Strong analytical skills, proficient on Excel Continuous improvement mindset Customer service skills Easily able to form relationships with Senior stakeholders DESIRABLE Previous experience of HR systems experience preferable but not essential Must demonstrate a high level of interpersonal skills and have a keen sense of discretion WHAT WE OFFER Recipharm offers a Global work environment, working alongside colleagues with high levels of expertise and passion in all areas.
