Job description

Overall Main Function

To ensure that all tasks and debts are collected on a timely basis, all cash is posted on a daily basis and company credit procedures are adhered to at all times.

Key Tasks

  • Take ownership of own part of sales ledger, regularly reviewing debts, chasing customers, maintaining regular notes and where necessary keep brands informed.
  • Review and release orders on a daily basis taking into account all necessary checks prior to releasing.
  • To liaise with various departments regarding general queries, credit notes, debit note problems and any account issues you may have.
  • Work closely with the brands and the logistics department to resolve any missing parcels or proof of delivery queries i.e. run Royal Mail / DHL checks.
  • Daily posting of wholesale cash receipts to customer accounts, chasing any required remittance advices from customers.
  • To maintain Master data records for Wholesale and Customer Service accounts i.e. credit check, set up new customers, create new franchises and branches in the system, complete change of addresses, request all relevant paperwork from brands including contracts, terms and conditions etc.
  • Make any amendments to the AcSiS selective distribution levels, including queries sent from Southampton office.
  • Produce, check and send dunning letters (twice a month) to all overdue accounts as well as monthly statement run for all customers.
  • Raise Pro Forma/ Consolidated invoices and Sundry Invoices/Credit notes as and when needed.
  • Process payment for Staff Purchases/ summer and winter Staff Sales and push orders to Sales team.
  • Perform small balance write offs throughout each month
  • Take part in filing and other general duties.
  • To provide cover for the team as and when needed for all duties.

  • Profile

    Key skills - Essential

  • Demonstrable knowledge/experience of a working Credit Control function, ideally from a retail environment
  • Preferable to have experience of SAP or equivalent
  • Computer literate with excellent excel skills
  • Good communication skills
  • Must be a team player yet be able to work on own initiative and be proactive at all times
  • Must have excellent attention to detail and the ability to manage your priorities in line with the business needs.
